 JOB DESCRIPTION

Post: Quotation & Sales Order Processor

Employer: SWC Trade Frames Limited

Responsible To: Sales Manager

Contract Type: Permanent

Hours: 40 hours per week Monday to Friday 8.30am to 5.00pm. Please note that flexibility will be needed on occasion.

Job Purpose

The purpose of this post is to interpret customer quotations and orders as part of the Sales Order Processing Team providing them with window frames, doors and conservatory roofing systems to their individual specifications, whilst following the Standard Operation Procedures of the company.

There will be an initial period of essential training prior to any customer contact.

Main Duties and Responsibilities

Quality Management System (QMS)

  • Comply with SWC's Standard Operation Procedures.

  • Contribute to ongoing system reviews and give feedback for procedural improvements to your line manager.

Quotations

  • Accurately interpret and process customer enquiries within the agreed framework and time-scales.

Order Processing

  • Accurately interpret and process customer orders within the agreed framework and time-scales.

  • Contact customers when necessary, in order to clarify, amend or reject their order.

Order Checking

  • Proofread the processed paperwork and compare with customers’ original orders for any discrepancies prior to authorising the manufacture of products.

  • Transfer approved orders onto the next stage of the order process.

  • Acknowledge orders and sub-component (conservatories) with customers by fax or e-mail.

Miscellaneous

  • Provide customers with further technical advice and assistance with orders and quotations. Note - Training for this will be provided.

  • Support customer service requirements.

  • Adhere to SWC good practice guidelines, policies and procedures.

  • Contribute to developing the efficiency of the quality control systems and procedures within the department.

  • Participate in individual training opportunities relevant to the post and team objectives.

  • Operate within a strict code of confidentiality where required at all times.

  • Support cover arrangements as requested by your line manager.
